Essential Functions:
  • Provide comprehensive administrative support for construction services to ensure smooth project operations, including:
    • Preparing accurate reports, correspondence, and communications for internal and external stakeholders.
    • Utilizing construction management software and tracking systems to maintain up-to-date project information, ensuring accessibility for project managers, contractors, and other stakeholders.
  • Monitor accounts payable by maintaining accurate records of invoices, tracking payment statuses, and coordinating with vendors to resolve discrepancies.
  • Organize and review bills to ensure timely submission for approval, verifying accuracy and adherence to project budgets.
  • Gather, analyze, and input utility bills into financial or project management systems, ensuring accurate tracking of project-related expenses.
  • Manage customer relationships by maintaining an organized customer database, responding to inquiries, and providing updates on project statuses to enhance client satisfaction.
  • Collect and manage critical documentation, including W-9 forms, Certificates of Insurance (COIs), and subcontractor agreements, ensuring compliance with legal and contractual requirements.
  • Oversee insurance payments by tracking due dates, coordinating with insurance providers, and maintaining accurate records to ensure continuous coverage for projects.
  • Support daily operations by assisting team members as needed.

Qualifications:
  • Familiarity with constructions processes and communications (preferred)
  • 2 years of experience in Construction administrative support or project management (preferred)
  • Excellent verbal and written communication skills
  • Proficient with Microsoft Office Suite, including Word, Excel, PowerPoint
  • Ability to multi-task and to work under time constraints and other stresses
  • Knowledge of construction management software preferred, but not required
